    About the role:

     

    The Administrative Assistant in our Tax practice area plays an ESSENTIAL role in which dependability and a focus on impeccable accuracy are paramount to ensure clients and our management team is taken care of. The individual in this role provides various administrative, project management, and other support services to executive management and other assigned staff. This individual will represent the executives when interfacing with external and internal clients, potential clients, and vendors. The Administrative Assistant will also serve as a facilitator to coordinate deadlines, resolving issues directly or through others, to ensure projects are completed in a timely manner in high pressure situations. Work hours will need to be adapted and/or extended to meet project deadlines. We are looking for someone who is adaptable, can anticipate roadblocks, is reliable, will take initiative, and will execute tasks with a high level of efficiency.

     

    Responsibilities:

     

    • Facilitate phone calls; handle questions and complaints; set up and confirm appointments and meetings. Oversee the needs of any visitor to the department. Deal with complex queries on the telephone, by email, and in person.
    • Assist in managing relationships with Microsoft, Intuit, Oracle, the IRS, and other key organizations.
    • Assist in billing processes and creating reports through our software program, as needed.
    • Prepare client bills and assist with collection efforts, including related correspondence and client calls.
    • Assist with the planning and execution of firm events and functions.
    • Format and edit letters, reports, and all other correspondence from draft stage to client-ready work; adhere to record retention policies and procedures.
    • Work with MS Word, Excel, PowerPoint, CRM, and other relevant software, effectively navigate and research on the internet, and use technical equipment appropriately.
    • Maintain confidence and protect operations by keeping information confidential.

     

    Qualifications:

     

    • Excellent communication skills, both written and verbal.
    • Ability to manage many tasks at any given time.
    • Knowledge of general office practices, procedures, software, and equipment; ability to learn several new computer programs quickly.
    • A service-oriented mindset and willingness to go above and beyond to take care of clients.
    • Excellent customer service skills and the ability to establish and maintain effective working relationships with employees, clients, and the public.

    We are seeking a detail-oriented and motivated individual to join our team as a Sales Tax Account Manager at the Associate level.  In this role you will be responsible for assisting clients in managing and ensuring monthly sales tax compliance.  The ideal candidate should possess strong organizational skills, attention to detail, and a desire to learn and grow within the field of sales tax advisory account management.  Responsibilities include managing sales tax filings, registrations, and various sales tax client support services.

     

    • Aid in the preparation of and filing of monthly sales tax returns accurately and timely.
    • Learn and apply standard processes for managing registrations, filings, and tax notices.
    • Respond to client inquiries regarding sales tax matters promptly and professionally.
    • Collaborate with internal teams to ensure accurate record keeping and reporting.
    • Communicate effectively with supervisors, co-workers, clients, and third-party software partners.
    • Learn and apply sales tax nexus rules for different industries (primarily direct selling and ecommerce).

     

    Qualifications:

     

    • Associate degree in Accounting, Finance, Business, or related field or, if degree is in an unrelated field, sales tax experience is extremely valuable
    • Strong attention to detail and accuracy in handling numerical data.
    • Excellent written communication and interpersonal skills.
    • Ability to follow established processes and directions.
    • Ability to work independently and as part of a team in a fast-based environment.
    • Time management skills– work requires adherence to frequent deadlines.
    • Proficiency in Microsoft Office Suite and familiarity with accounting software is a plus.

    About the role:  

    The Administrative Assistant – Project Coordinator provides a variety of administrative, project coordination, sales and other support services to executive management and other assigned staff. This individual will represent the executives when interfacing with external and internal clients, potential clients and vendors. The Administrative Assistant will also serve as a facilitator to coordinate deadlines, resolving issues directly or through others, to ensure projects are completed in a timely manner in high pressure situations. Work hours will need to be adapted and/or extended to meet project deadlines. We are looking for someone who is adaptable, can anticipate roadblocks, is very reliable, will take initiative, and will execute tasks with a high level of efficiency.  

     

    Responsibilities:  

    • Assist in coordinating and supporting implementation project team members in their tasks and responsibilities. 
    • Assist project managers in developing project plans, training plans, test cases, etc.  
    • Coordinate and schedule project activities and tasks to ensure timely completion of project deliverables. 
    • Assist in tracking project expenses and budgets. 
    • Manage and maintain calendars, ensuring effective time management and coordination of activities. 
    • Facilitate phone calls; handle questions and complaints; set up and confirm appointments and meetings. Oversee the needs of any visitor to the departments. Deal with complex queries on the telephone, by email and in person. 
    • Assist in managing relationships with Microsoft, Intuit, Oracle, the IRS and other key organizations. 
    • Assist in billing processes and creating reports through our software program, as needed. 
    • Prepare client bills and assist with collection efforts, including related correspondence and client calls. 
    • Assist with the planning and execution of firm events and functions. 
    • Format and edit letters, reports, and all other correspondence from draft stage to client-ready work; adhere to record retention policies and procedures. 
    • Work with MS Word, Excel, PowerPoint, CRM and other relevant software, effectively navigate and research on the internet, and use technical equipment appropriately. 
    • Maintain confidence and protect operations by keeping information confidential. 

     

    Qualifications: 

    • Excellent communication skills, both written and verbal  
    • Ability to manage multiple projects at a time  
    • Strong organizational and time management skills 
    • Knowledge of general office practices, procedures, software and equipment; ability to learn several new computer programs quickly  
    • Excellent customer service skills and the ability to establish and maintain effective working relationships with employees, clients, and the public  
    • Associate degree preferred, but some formal education plus on the job experience is acceptable  
    • Microsoft Office: 1 year (Preferred)  
    • Administrative experience and/or experience supporting executive leadership: 2 years

    About the role:  

    The Project Manager is a member of the Software Implementation team and leads team members to implement various software system implementation services for our clients. Responsibilities include monitoring team workflow including multiple functional areas to ensure project delivery and quality standards are met. They are a point of contact for the team and demonstrate comprehensive understanding of projects/products offered. 

     

    Responsibilities:  

    • Spearhead day-to-day project tasks for implementing various software systems (such as NetSuite, Microsoft Business Central, SuiteCentral) and services, from the close of sale through handoff to the support team. 
    • Develop and maintain comprehensive project work timelines, track customer scope requirements, resource allocation, and budget, translating customer requests into actionable project deliverables. 
    • Oversee all delivery aspects of the implementation project, ensuring that deliverables are completed on time, while adeptly managing project risks, challenges, and escalations. 
    • Lead and inspire a team of functional consultants, providing clear direction and unwavering support throughout the project lifecycle. 
    • Establish and communicate clear expectations for productivity and quality measurements, maintaining consistent processes across the team and organization. 
    • Act as the primary point of contact for clients and other software partners, expertly managing expectations and ensuring utmost satisfaction with project deliverables. 
    • Provide regular, clear, and concise communication of project status, updates, and risks to project stakeholders, fostering transparency and trust. 
    • Conduct comprehensive post-project analysis, driving positive project outcomes, team results, and effective change management.

    Qualifications:
